KCC meeting 3/23/12
Thursday before conference – set up dinner with presenters who are in town already
- Amy is only working until 5 that day, so she is available for dinner/picking people up
Day of conference:
Committee members will arrive at 7am:
- Enter through the door behind KGA. Tonia will be there already to let us in.
Participants will start arriving at 8am:
- They will enter through Broad Street entrance (by Tim Horton’s)
- A committee member will be by the door to greet people and direct them to the registration table
- Registration table will be set up by KGA – Johanna and Libby as possible volunteers for registration table
- Registration is from 8-8:30. Someone will stay to greet latecomers
- Room monitor for KGA will keep and eye on the table for the rest of the day
Presenters:
- Presenters can leave their belongings in Tonia’s office
- They can go into the secret room for breaks – person at the desk or Kathy can let them in.
- There will be conference folders for presenters
- A committee member will walk presenters over to the Rundel Auditorium so they know where it is (if they are presenting there)
Lunch:
- Miranda will let the caterers in – they will enter via door behind KGA
- Heather (volunteer) can help with lunch
- Set up KGA & Rundel with tables and chairs. People can eat in KGA or take their lunches wherever
Autographing session:
- Attendees can buy books at the bookstore. There will be tables set up outside the bookstore for signing.
Action steps:
Amy: Revise online schedule – done
Send write-up of conference to NYLA newsletter – done
Contact caterers about when and where they will arrive, ask if they can send a bill
Anne: Make preliminary volunteer schedule
Jason: Make feedback form
